Privacy Policy
Last updated: 18 October 2026
At HongKongFlowerShop.com, we respect the privacy of our customers and the people receiving their gifts. This policy explains how we handle personal information when you browse our website, place an order, receive a delivery or contact us, whether you are in Hong Kong or overseas.
1. Information We Collect
Depending on how you use our services, the information we collect may include:
- Your name, email address, telephone number and billing details.
- The recipient’s name, delivery address, telephone number, delivery instructions and gift message.
- Order details, delivery dates, payment confirmations, transaction references and refund records.
- Messages, correspondence and photographs or files you choose to provide when seeking help.
- Technical and usage information, such as IP address, device and browser details, and information collected through cookies and similar technologies.
- Your marketing preferences and subscription choices.
2. How We Use Information
We use relevant information to process orders and payments, arrange deliveries, communicate about your purchase, respond to enquiries, investigate concerns, and handle replacements or refunds. Information may also be needed for appropriate business records, fraud prevention, security, and legal or regulatory obligations.
We may use website information to maintain and improve the store and, where enabled and permitted, assess analytics or advertising performance. Marketing communications are handled separately from order and support messages.
We will obtain consent where required before using personal information for a purpose unrelated to the original collection purpose.
3. Sending Flowers to Someone Else
We use gift recipients’ details to prepare and deliver their gifts, contact them about delivery, and address related issues. Please provide accurate information and only the details needed for those purposes. Where appropriate, let the recipient know that you have provided their information to us.
Providing someone’s details for delivery does not, by itself, give permission to subscribe them to marketing.
4. Customer-Service Enquiries and Photos
We use the details and photos you provide to respond to your enquiry and resolve related order matters. Photos are optional: you can contact us and raise a concern without uploading them.
Our contact form uses Shopify Forms. Submissions are stored through Shopify and may create or update a customer record. This is not the same as signing up for marketing emails. Submitting the Customer Service form does not automatically subscribe you to marketing.
We will not publish your private customer-service photos or use them in marketing without separate permission. Relevant information may still need to be shared with service providers helping us investigate or resolve your concern, or disclosed where required by law.
Please avoid including unrelated people, identity documents, passwords or payment-card details in messages and photos. Where possible, crop images to show only what is relevant.
5. Required and Optional Details
Required fields are marked on our forms. Without the necessary information, we may be unable to process an order, arrange delivery or reply to an enquiry. Optional fields can be left blank. If you do not know your order number, provide other relevant details to help us identify the order.
6. Shopify, Payments and Other Service Providers
Our store is hosted on Shopify. Relevant information may be processed by Shopify and providers helping with payments, delivery, email communications, customer support, website operation, analytics, advertising where enabled, and security.
We share information appropriate to the service being provided. Some providers also process information under their own privacy policies. We remain responsible for the personal information we control.
Payments are processed through the payment services available at checkout. Please enter payment information only through the designated checkout process, not through our enquiry form or email.
We may disclose information where required by law or valid legal process, or where necessary and lawful to address fraud, security incidents or legal claims.
7. Storage, Overseas Processing and Security
Service providers may store or process information outside Hong Kong, including when you order from Hong Kong. We consider applicable privacy requirements when using providers and arranging international processing.
We take reasonable measures to protect personal information and limit access to authorised people and providers who need it for their work. No online service, transmission method or storage system can be guaranteed completely secure.
8. How Long We Keep Information
We retain information for as long as reasonably needed for the purposes described here, including applicable legal and recordkeeping requirements. Different periods may apply to order and accounting records, support enquiries, uploaded photos and marketing preferences.
Records connected with an unresolved complaint, dispute or legal obligation may need to be kept longer. When information is no longer needed, we take appropriate steps to delete or anonymise it. Contact us if you have a question about a particular record or uploaded photo.
9. Marketing and Cookie Choices
Where we have the necessary permission, we may send information about our flowers, gifts and offers. You can unsubscribe through a marketing email or contact us to update your preference. This does not prevent necessary messages about orders, deliveries, refunds or enquiries, and submitting an enquiry does not cancel an existing marketing preference.
Our website and its service providers may use cookies and similar technologies for shopping-cart operation, preferences and security, and for analytics or advertising where enabled. You can manage cookies through your browser and any privacy controls made available on the website. Blocking essential cookies may affect store functionality. Where consent is required for non-essential technologies, the relevant consent requirements apply.
10. Privacy Questions and Requests
You may request access to personal information we hold about you and correction of inaccurate information, subject to applicable law. You can also ask about deletion, retention, marketing preferences or other privacy choices. Additional rights may apply depending on your location and the law applicable to our activities.
We may need to verify your identity before acting on a request. We will handle requests within applicable legal time limits. Some information may need to be retained to meet legal obligations or address outstanding matters; we will explain relevant limitations where they apply.
The business responsible for personal information under this policy is Whatezit Limited. For privacy enquiries, requests or complaints, please use our Customer Service form. Please indicate “Privacy Enquiry” in your message and do not send unnecessary sensitive information.
11. Updates to This Policy
We may update this policy when our services, practices or legal requirements change. The latest revision date appears above. We will provide additional notice or seek consent where required by applicable law. Nothing in this policy limits rights you have under applicable privacy laws.
